AU Legal Admin Assistant
We are looking for a highly organized and detail-oriented Legal Administrative Assistant to support our Australian law firm client.
In this role, you will work closely with the Legal Team, assisting with a variety of administrative tasks such as invoicing, document filing, and workflow management to ensure smooth and efficient operations.
Responsibilities:
Financial & Billing Support
- Prepare, review, and send invoices and client emails per firm billing procedures.
- Monitor unpaid invoices and Trust Money Requests; follow up with clients and process online payments.
- Track and update matter-related financial issues and assist Legal Assistants with resolutions.
- Process Trust Transfers, Payment Requests, and matter-related Office Account payments.
- Prepare and send Trust Statements; support annual mail-outs and fee increase communications.
- Assist in setting up approved client payment arrangements.
Lead Management & Workflow Support
- Assist Legal Assistants with managing and actioning tasks for new client follow-ups and conversions using CLIO Grow.
- Execute lead conversion activities, follow up with prospects and referrals, and escalate stalled or aged leads.
- Support administrative tasks in the client onboarding process.
Matter Support & Administration
- Open new client files in LEAP and assist Legal Assistants with Engagement Letters and Legal Services Agreements.
- Support legal processes, appointment scheduling, and matter finalisation, including refunding surplus Trust balances and archiving files.
- Ensure accurate data entry in compliance with firm guidelines.
Electronic File Management
- Maintain and organize electronic files in LEAP per firm guidelines.
- Add and update client details, ensuring accurate data and avoiding duplicates.
- Ensure documents are correctly saved, labeled, and shared via LawConnect or SharePoint as directed.
Document & Process Support
- Review, proof, and format legal documents and draft correspondence.
Team Support
- Assist Legal Assistants with daily tasks and ad hoc administrative work.
- Escalate unclear issues promptly and maintain professional communication during working hours.
Required Skills & Experience
- Excellent written and verbal English communication skills.
- Minimum of 2 years’ experience in an administrative, finance administrative, or operations support role is highly regarded.
- Experience working with Australian businesses or professional services is preferred.
- Previous experience as a Legal Assistant or within the legal industry is highly ideal.
- Strong attention to detail and a high level of discretion when handling sensitive information.
- Confident user of cloud-based tools and Microsoft Office 365.
- Ability to manage competing priorities, meet deadlines, and follow through on tasks.
- Mindset for continuous improvement and comfort working in a structured, process-driven environment.
- Previous experience with LEAP Legal Software is a plus.
Work Arrangement: Primarily work-from-home, but must be willing to work on-site as needed in Eastwood, Quezon City.
Schedule: Monday to Friday, AU Shift (7:00 AM to 3:00 PM MNL)
