AU Executive Assistant (WFH)

We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide high-level administrative support to executive leadership. This role requires exceptional organizational skills, discretion, and the ability to manage a wide range of tasks in a fast-paced environment. 

 
Responsibilities:

  • Calendar & Scheduling Management: Coordinate complex calendars, schedule meetings, appointments, and internal/external events to ensure optimal time management.
  • Travel Coordination: Arrange comprehensive travel plans including flights, accommodations, ground transportation, and itineraries.
  • Communication Management: Manage email correspondence and phone communications with professionalism, discretion, and a strong sense of confidentiality.
  • Personal Support: Assist with personal errands and tasks as needed to support the executive's day-to-day needs.
  • Team and Office Support: Provide administrative assistance to team members and contribute to the smooth operation of the office through various support activities.
  • Administrative Operations: Perform general administrative duties, including document preparation, file management, and expense tracking to support efficient office operations.

Qualifications:

  • Proven, minimum of 3 to 5 years’ experience in an executive assistant or similar administrative role
  • High level of discretion and confidentiality
  • Proficiency with office software and scheduling tools
  • Ability to adapt to changing priorities and multitask effectively
  • Excellent task management skills, with a focus on delivering results.
  • Ability to thrive in a fast-paced, ever-changing work environment.
  • Competent with Office 365
  • Basic understanding of CRM
  • Excellent communication and interpersonal skills

Schedule: Monday to Friday, AU (7:00 AM to 3:00 PM MNL)
Work Arrangement: Permanent WFH (must be willing to work onsite in our office in Eastwood, Quezon City as needed)
